Rent Our Space

The historic nature of the Village Players of Hatboro, its large auditorium (which seats 152), and proximity to local restaurants and other local spaces make our theatre a fabulous location for your event. In the past we have rented our space for other local artists to perform, open mic nights, film screenings, and more.

From dance recitals, magic shows, and showcases, to open mic nights, lectures, and receptions, The Village Players has just the space for you. Rent our space for your public or private event or hold your event in conjunction with one of our many performances.

The Village Players are committed to providing affordable, well-equipped performance, meeting, and reception space to fulfill the needs of your group! The theatre is situated in a refurbished barn, with three entrances, easy load-in, and a free parking lot, as well as ample street parking.

Pricing Options

Hourly Rental: $150

  • For hourly rental, 50% of the full fee is due at the time of booking.

  • A refundable security deposit of $100 is required for use of the facility and is due in full at the time of booking.

  • The security deposit is returned after two weeks if there is no damage, excessive cleaning or loss to the premises, and if all venue rules have been followed. The renter is financially responsible for damages that exceed the security deposit.

Partnership Rental: No Fee

  • For events in which an organization partners with The Village Players of Hatboro to split the proceeds, the rental fee is waived. The refundable security deposit is still required to hold the rental date.

Terms and Conditions

Insurance Rider

All rental clients of The Village Players of Hatboro (VPH) must, at their own expense, maintain comprehensive general liability insurance, which names VPH additionally insured. Renters shall furnish evidence of insurance through a Certificate of Insurance in the amount of $1,000,000.00 per occurrence for bodily injury, accidental death, and property damage with a general aggregate of $2,000,000.00. Evidence of insurance must be received by VPH at least 30 days prior to the rental event.

All subcontractors for the client (i.e., photographers, videographers, production companies, etc.) must comply with the same insurance criteria as described above. It is the responsibility of the renter to inform subcontractors, obtain the certificates, and forward those to VPH. Subcontractors that do not present proof of insurance will not be allowed to operate on VPH property.

Rental Space

Theatre space rental includes the use of our box office, lobby, bathrooms, auditorium, green room, kitchen, and grounds.

Renters may not book our facility for public screenings of movies or performances that directly conflict with the mission statement of the theatre unless engaging in a Partnership Rental and with prior approval from the Board of Governors of The Village Players of Hatboro.

Holding Dates/Times

The Village Players of Hatboro does not temporarily hold dates and times for renters for any reason. All rental slots available to renters are open to anyone and can be booked at any time. By choosing a date and time and submitting payment, renters “lock in” their event.

Lights and Sounds

The theatre lighting and sound system is available for use for your event. A VPH volunteer will be assigned on the event date. Renters and subcontractors are not permitted to operate the lighting and sound system.

Decorating and Cleaning

Time to set up or decorate will be granted as time allows and cannot interfere with theatre showtimes, rehearsals, or other scheduled events. Please consult with your theatre Coordinator (Village Players of Hatboro Board of Governor member) prior to the day of your event to arrange time for decorating. Nothing may be taped, tacked, or otherwise attached to theatre walls.

It is the responsibility of the renter to clean after a private event. Cleaning must be completed within 30 minutes of the end of reserved events without exception.

Food

We encourage you to enjoy our facility and welcome you to bring your own food or hire a caterer for your event. All spills must be reported to the Coordinator immediately to be cleaned as soon as possible.

Please consult with theatre Coordinator before the day of your event to arrange time for catering set-up, including preparation of tables (tablecloths, napkins, silverware, etc.). Caterers must remove all equipment and clean the catering area and table area within 30 minutes of the end of reserved event without exception.

Alcohol

Alcohol may be provided by the renting party, with proof of liquor liability coverage. Consult with your theatre Coordinator to arrange time for beverage catering to be set-up. Beverage catering must be removed and cleaned up within 30 minutes of reserved event without exception.

Marketing

Organizations engaging in a Partnership Rental with VPH will have their events included on our website and other promotional outputs (i.e., Facebook, Instagram).

Refund/Cancellation

We understand that life happens! If you need to cancel or reschedule your event, please contact us right away.

  1. If you cancel or reschedule more than two weeks (14 calendar days) before your event, for any reason, we will refund half the cost of the rental.

  2. If you cancel or reschedule less than two weeks (14 calendar days) before your event, for any reason, we will not refund any portion of your rental fee.

  3. If your event cannot be held due to serious inclement weather (e.g., a blizzard or hurricane), we will work with you to reschedule your event as soon as possible at no charge. However, we can’t guarantee that we can reschedule your event close to its original date.

Facility Specifications

  • The Village Players of Hatboro auditorium can seat 152.

  • The theatre is wheelchair accessible, with a ramp leading up to the main and side entrances.

  • The theatre has a green room with a single restroom and two dressing rooms as well as a kitchen with a working sink, microwave, and refrigerator.

  • The theatre has a basic lighting and sound system.

  • Our Concession stand sells sodas, waters, and candies for $2 (all proceeds go to the theatre, unless otherwise agreed at the time of booking).

  • No animals other than service animals are permitted in the theatre.

  • The theatre management reserves the right to decline to rent its facilities to anyone.

  • There is a free parking lot and ample street parking.
